    Plan your move

Here comes the day when you find yourself in your new dream office. What a wonderful feeling! Still, something less pleasant first… Moving! Nobody likes this time-consuming process, but with our tips, everything should go smoothly.

    Office handover

Representatives of your company with the necessary powers of attorney to sign the handover protocol must be present at the office handover session. We recommend taking your photo record at that time. During office handover, together with a protocol that must be signed by an authorised person, we will also provide access cards.

    Delivery hours

Delivery of new furniture or office equipment, as well as the entire move, must be scheduled Monday through Friday after 5 p.m. or at the weekend to limit inconvenience to other tenants.

    Report and confirm delivery

The move must be reported to the property manager and building technical manager by email and done in accordance with the following rules.

    MOVING STEP BY STEP

    STEP 1

Notify the property manager three days in advance. This way, they will be able to ensure that your move or delivery will not coincide with any other work in the building that may stand in your way.

    STEP 2

Details worth discussing with the property manager include: furniture delivery pathways, booking a lift to transport your cargo, and entry rules for deliverymen. If you find it necessary, order a waste container and provide extra security for the duration of the move. In addition, take care not to damage the lift. The cost of these additional services is yours to cover.

    STEP 3

Monday through Friday between 5:00 p.m. and 7:00 a.m. the next day or Saturday and Sunday are the perfect times to move. This way, you will not disturb others, and others will not disturb you.

    STEP 4

Once you have selected your moving company, let the property manager know its name. Moreover, provide contact information for the person who will manage the move on your part.

    STEP 5

No later than one day before your move, provide the property manager with a list of people who are involved in the delivery or the move and therefore authorized to access the building. This is also the moment to establish some ground rules about building access for all the people involved.

    STEP 6

All the equipment and materials should find their way to delivery car park. From there, you will get into the building and take the lift to your office floor. Just in case, we would like to remind you again to protect the lift from any damage.

    STEP 7

Make sure that the delivery vehicles have been parked in spaces approved by the property manager or security.

    STEP 8

Because the space we offer is extraordinary, we have some requirements on delivery carts for office moving. They must have rubber wheels and must not smudge or stain. This (along with careful wheeling) should protect the floors in lift halls, doors, and lift interiors. This is worth your attention because you and your employees should be able to enjoy these spaces right after the move.

    Delivery zone

All deliveries in either large quantities or of considerable size should be arranged so as not to interfere with building access by other users. There is some reciprocity to it: the users won’t impede the unloading and transfer of goods to their destination. Therefore, such operations can only be carried out after 5 p.m. and on Saturdays and Sundays. They must also be reported by email to the property manager and building security in advance. At least to avoid… another large delivery. The notification shall include the planned delivery date, details of the supplier and employees who will provide this service in the building, details of the weight, size and type of the equipment to be delivered, and details of the tenant representative responsible for coordinating the delivery.

Large deliveries enter the building through a side door located right next to the main entrance. This ensures that your courier does not get stuck in the revolving door.

    Pro tip

We accept really large deliveries. However, the total weight of vehicles entering the courtyard of the complex must not exceed 15 tonnes. Please notify your suppliers accordingly.

    Dimensions of the cargo lift

Inform the moving company (and other suppliers) that they must not block the cargo lift. Remember that not everything would fit into it. For this reason, we have prepared a graphic with the dimensions of the cargo lifts at Green Horizon.
