    GENERAL TIPS

    Below we present issues related to the office use rules. If you can’t find something, let us know or have a look at your contract.

    WHAT CAN BE CHANGED IN YOUR OFFICE

    If you relocate to another facility, the office should be restored to its original state. Any modifications should be able to be reversed.

    Without special permission, you are allowed to:

    Hang posters, pictures, signs, TVs on the walls.

    Place stickers on glass doors.

    Install hanging decorations.

    Paint the walls and add partitions up to 1,5 m high.

    With a special permission, you are allowed to:

    Exchange of blinders, make changes to flooring and floor outlets, wall structure, existing office equipment, intercom, add partition walls.

    WHAT YOU CANNOT DO

    You cannot make changes if the following situations arise:

    You have not obtained written permission to make the change.

    You want to make changes that cannot be undone prior to moving out.

    You want to make changes that the facility manager objects to.

    Office renovation

    A little renovation? No problem! Still, you need to get the property manager’s approval first. If renovation works are disruptive, for example noisy, they must be done between 10 p.m. and 6 a.m. or at the weekend.


    Pro tip

    You need to submit your renovation consent request to the property manager by email. You can only start works when you get approval.


    There is a special procedure for carrying out construction works, including renovation and arrangement works, on the premises of the complex. Full information is attached to the lease contract under the title Regulations for carrying out construction and renovation works on the premises of the Green Horizon building. Both you and the contractor are obliged to read it before commencing any works. Below we present the most important provisions of the regulations.

    RENOVATION STEP BY STEP

    STEP 1

    Any renovation work in the Green Horizon building shall only be carried out under a permit approved by the technical manager. Requests for works must be submitted in writing or by email to the technical manager and property manager at least 24 hours prior to the commencement of works. The request should include two lists:

    • a list of persons who will be employed to carry out the requested works, including their ID numbers,
    • a list of vehicles to be parked on the premises as part of the works, including their brand and registration numbers.

    STEP 2

    As safety and comfort are paramount, the contractor shall provide the space owner and property manager with a third party insurance policy prior to the commencement of works. This should be issued in accordance with the owner’s instructions and cover the duration of the works on the Green Horizon site.


    STEP 3

    Each day prior to the commencement of works, a representative of the contractor should present the scope of the planned works to the technical manager. This must include the following information: type of work, location, impact on functioning systems and technical installations, potential inconvenience to building users, including Green Horizon tenants. You should take care of this, as the lack of such notice means that the works may be interrupted at any time.


    STEP 4

    All vehicles are required to enter the Green Horizon site from Pomorska Street. To do so, drivers must contact the property manager. Please include in your request the date, hours of parking, number and type of vehicles and weight of vehicles with goods. For supply deliveries, this must be reported in advance to the security manager and agreed with him.


    STEP 5

    Some works require using a lift. However, this requires prior notice to the property manager. The property manager, technical manager or security manager will specify the lift which can be used. Before commencing work, the contractor must ensure that the walls, floor and ceiling of the lift are not damaged or destroyed. The contractor is also responsible for hiring a trained employee to operate the lift.


    STEP 6

    The contractor shall only dispose of waste in his own containers. Their location shall be agreed with the property manager of the building. If a container needs to be relocated, the contractor is obliged to relocate it to the place indicated by the property manager.

    Common areas

    Freedom in your own home!. Still, not where employees of different companies meet. Apart from the examples given in the branding section, you must not display any signs, information, flags, posters, adverts etc. in common areas. This applies to windows, doors, corridors and other shared parts of the building unless you are given special permission. To get it, make sure that everything you want to put in common areas is unobtrusive and fits in with the surroundings.
